The Transat, the first ever single-handed ocean yacht race, that was originally staged in 1960, is set to return in 2016 when some of the world’s best solo sailors and most spectacular yachts will take on the classic 2,800-mile course of The Transat, from Britain to the United States.
Fittingly the 2016 edition is returning to its original course with the start from The City of Plymouth on May 2nd 2016 and the finish line off Manhattan, New York, for the first time since the inaugural race 55 years ago.
JOB DESCRIPTION
The event assistant will be working full time on the The Transat 2016. You will be based in Cowes office, UK travelling as part of the team to the venues.
Event planning:
• Supporting the Host Venue Managers to deliver the overall event
• Tasks will include but not be limited to; bench marking suppliers, managing orders and deliveries of services e.g. cleaning, security, serving staff, plants, flowers etc
• Post event reconciliation such as processing invoices through the accounts team, updating data base systems and providing overall event feedback Event logistic:
• Logistical organisation for each venue, including flights, transfers, accommodation and food arrangements for a team of 30 people
• Writing and distributing a roadbook, travel plans and other necessary documents for the team
• Working with budgets and cost optimisation policies
During the event:
• Working with the wider events team on the physical set-up and pack up operations at both venues
• Delivering high levels of guest experience
General administration:
• Processing purchase orders and invoices through the accounting system
• Updating the company Data Base Systems
• Providing administrative and reception support in the Cowes office

PERSONAL SPECIFICATION
• UK or EU National
• Excellent English (written and conversational)
• Affinity with, and basic knowledge of, sports and the sports marketing industry
• Team player
• Autonomous
• Flexible, proactive approach to problem solving
• Excellent organisational skills
• Ability to work efficiently under pressure
• Additional languages would be beneficial
• Experience of premium hospitality preferred
• Good knowledge of iOS systems and computer software (Excel, Word, Keynote etc. – the company mainly operates on Apple machines)
• Good physical condition, as some tasks within the role will be physically demanding e.g. loading/unloading containers
• Flexibility and willing to travel (an average of 3 months in total through the year)
• Driving licence would be beneficial
